Role Summary
The PROX team within Global People Services & Solutions (GPSS) enables digital-first, AI-powered, and data driven People services across global operations.
The PROX Transformation Support Specialist supports the Senior Manager, PROX Transformation, by providing hands-on coordination, documentation, data tracking, and operational support for transformation initiatives.
The role supports process simplification, automation readiness, self-service adoption, project governance, and change readiness across global GPSS teams.
Key Responsibilities
Project Coordination and Tracking
- Maintain project trackers, action logs, issue lists, and milestone updates for PROX transformation initiatives.
- Coordinate meetings, capture key decisions, and follow up on action items with stakeholders.
- Support preparation of leadership updates, project dashboards, and presentation materials.
Process Documentation and SOP Support
- Support documentation of current-state and future-state GPSS workflows.
- Create and update SOPs, process maps, RACI matrices, FAQs, checklists, and work instructions.
- Help ensure documentation is clear, consistent, searchable, and ready for automation or AI enablement.
Data Collection, Analysis and Reporting
- Collect and organize operational data, including case volumes, cycle times, service trends, and adoption metrics.
- Maintain dashboards, trackers, benefit logs, process inventories, and reporting templates.
- Prepare clear summaries and basic analysis to support decision-making.
AI, Automation and Digital Enablement Support
- Support documentation of AI, automation, chatbot, workflow digitization, and self-service use cases.
- Assist with requirements, test scripts, UAT trackers, issue logs, and pilot feedback.
- Track readiness, adoption activities, open issues, and stabilization actions.
Change Management and Communications Support
- Support communication drafts, user guides, training materials, FAQs, and knowledge updates.
- Track stakeholder readiness, training completion, feedback, and adoption status.
- Maintain change logs, communication calendars, and readiness checklists.
Operational Support for PROX Transformation
- Support workshops, discovery sessions, stakeholder interviews, and process walkthroughs.
- Provide hands-on coordination and administrative support to keep transformation activities on track.
- Escalate delays, data gaps, missing inputs, and documentation risks in a timely manner.
Skills and Experience
- Diploma or bachelor’s degree in human resources, Business Administration, Operations, Data Analytics, Information Systems, or related field.
- Typically 2–5 years of experience in HR operations, shared services, project coordination, process documentation, or business support; fresh graduates with AI or automation project exposure are also welcome to apply.
- Strong coordination, organization, follow-up, documentation, and time management skills.
- Comfortable using Microsoft Word, Excel, PowerPoint, SharePoint, Teams, and project trackers.
- Good attention to detail, basic analytical ability, and ability to consolidate information clearly.
- Professional, discreet, and comfortable working with global teams across time zones.
Preferred Qualifications
- Experience in HR shared services, employee services, global business services, PMO support, or transformation support.
- Exposure to ServiceNow, Workday, Power BI, Power Automate, Microsoft Copilot, SharePoint lists, or similar tools.
- Familiarity with SOPs, process maps, dashboards, UAT support, workshops, or change readiness activities.
