Trip Safety Manager (Dual Campus)

UWCSEA is seeking a full-time Trip Safety Manager (Dual Campus) to join the Trip Safety Team. 

The Trip Safety Manager (Dual Campus) is part of the Trip Safety Team, a department within the College that supports the delivery of trips. The Trip Safety Team is a “critical friend” to trip leaders and administrative support, as well as an adviser to senior leaders on matters of policy.

The Trip Safety Manager (Dual Campus) provides a vital support and oversight role for the Colleges trip programme. They oversee and support trip leaders to plan, execute and reflect on trips in line with the College trip management policies and protocols. They further oversee and manage the Dover Duty Manager programme and the Trip Leader/ Staff Training programme.

The Trip Safety Manager (Dual Campus) works closely with trip leaders, the Outdoor Education department, the Sports and Activities department, respective schools, Safeguarding, Finance and Procurement departments, and external/ third party  providers that support the Colleges trip programme, including Project Week.

As with all roles in a dynamic and forward-looking organisation, the responsibilities and reporting lines associated with this position may evolve over time in response to the Colleges  strategic and operational needs.

The role requires coverage across both campuses and may involve regular presence at each campus. 

Main Responsibilities

Oversee and support all matter relating to Colleges trip programme (planning, running, and reflection), including but not limited to:

  • Support trip leaders/ trip organisers with risk assessment, budgeting, third party evaluation, and other preparations in planning and running a trip. Flag any areas of concern to the relevant Head of Campus, Principal or operational department head as appropriate
  • Ensure that the Colleges policies and processes on trip management are current and effective, Act as a subject matter expert on Colleges trip policy and processes and advise trip leaders/ staff on the same. Provide training and share any current research and standards that are relevant to and actioned across all trips
  • Review trip incident, accident and near miss reports with a view to identifying areas for improvement in trip management
  • Liaise and connect with the Colleges travel emergency response and insurance provider to ensure that effective support processes are in place to respond to trip incidents
  • Conduct site visits and risk assessment of external sites, providers and locations that will be visited by students and staff, through a mixture of physical and virtual visits as appropriate. Train other staff to conduct visits as appropriate
  • Work with IT Department to ensure that CIMS modules that support trip management are in line with the policies and processes and fit for purpose
  • Manage the Dover Duty Manager programme that provides a 24/7 support line for trip leaders. This includes determining the structure of the programme, maintaining the roster, recruiting and training of duty managers in collaboration with other relevant staff
  • Project Week - conduct risk assessment on countries/ location/ third parties, and review program details for PW students and On-site Supervisors (OSS). Train PW supervisors and OSS on trips risk, roles and responsibilities
  • Undertake any other duties, tasks, or responsibilities commensurate with the scope and level of the role, as may reasonably be required by the line manager and/or the College.
Person Specifications
  • Degree in relevant subjects with an outdoor education element or a similar set of qualifications, and with experiences in expedition and outdoor activities/ programme
  • Minimum 5 years experience in running and leading expeditions that involve a high degree of adventurous activity (in an K-12 educational context would be advantageous) 
  • Familiarity with risk assessment of trips (health, safety, financial risks), site visits (location, logistics, activities) and external/ third party vendor assessment
  • Standard First Aid (Wilderness First Aid trained or similar would be advantageous)
  • Excellent Communication Skills
