Scope of Work

(a) Support end-to-end fund setup and launch processes, including review of offering and constitutional documents, coordination with service providers on fee proposals and engagement terms, and preparation of fee quotations for prospective mandates;

(b) Facilitate investor onboarding, including subscription document processing, KYC/AML and CDD reviews in coordination with the administrator, and maintenance of the investor register;

(c) Coordinate with portfolio managers, legal counsel, tax advisors, fund administrators, and other service providers to ensure deal terms and fund terms are accurately reflected in operational processes and records;

(d) Maintain and reconcile loan schedules, payment waterfalls, and interest and fee accrual calculations, including shadow records reconciled against fund administrator records;

(e) Support monthly and quarterly NAV production in coordination with fund administrators, including review of valuations, accruals, and expense allocations;

(f) Process capital calls and distributions, including preparation and issuance of investor notices, reconciliation of investor payments, and equalization calculations at subsequent closings;

(g) Review and validate management fee, performance fee, and carried interest calculations prepared by the fund administrator;

(h) Monitor fund cash positions and bank accounts, support payment approvals and releases, and assist with liquidity forecasting;

(i) Coordinate valuation processes with external valuation agents and prepare materials for valuation committee review;

(j) Coordinate annual audits and review draft financial statements in conjunction with auditors and administrators;

(k) Manage project timelines and deliverables, tracking progress across stakeholders and proactively following up with clients and service providers to ensure timely execution;

(l) Support investor communications and fundraising materials, including responses to investor queries, due diligence questionnaires, and investor portal updates;

(m) Prepare presentations to senior management and/or investors;

(n) Prepare market commentary and monthly and quarterly performance reports for investors;

(o) Support regulatory filings and compliance monitoring, including FATCA/CRS reporting and applicable regulatory returns, and adherence to internal risk management policies and best practices;

(p) Support fund lifecycle events, including subsequent closings, restructurings, and wind-downs or liquidations;

(q) Conduct periodic oversight of service provider performance against agreed service levels; and

(r) Document operational procedures and identify opportunities for process improvement and automation.

Requirements

  • 2–3 years of relevant experience in fund operations, fund administration, fund accounting, or a related role within asset management, private credit/private equity, or a professional services firm servicing funds;
  • Bachelor's degree in accounting, finance, economics, business, or a related discipline;
  • Working knowledge of fund structures and lifecycle processes, including NAV production, capital calls and distributions, and payment waterfalls; exposure to private credit or private debt an advantage;
  • Familiarity with investor onboarding, KYC/AML and CDD requirements;
  • Strong Excel skills, with the ability to build and maintain reconciliations and schedules; experience with fund administration or accounting systems an advantage;
  • Strong attention to detail and numerical accuracy, with the ability to manage multiple deliverables against tight deadlines; and
  • Good communication skills for coordinating across portfolio managers, service providers, and investors;
  • A proactive, organized approach to managing timelines and following up with stakeholders;
