about the role

This role is responsible for smooth of our Singapore office operation at 100% uptime. We are looking for someone with superb prioritization skills, multitask and meet deadlines and deems pressure as a challenge!

Facilities/Office Operations

  • Assist the Office Administrator with procurement of goods and services, including ordering and replenishing name cards, office supplies, and pantry essentials.
  • Coordinate with the office cleaner to maintain cleanliness and a well-organized workspace
  • Ensure the availability of stationery and pantry consumables.
  • Facilitate new joiner onboarding, including badge applications and other necessary arrangements.
  • Oversee daily office operations to ensure a professional, organized, and smoothly functioning workplace.
  • Provide administrative support to Business Units as needed
  • Execute tasks assigned by the Office Administrator efficiently and in a timely manner

Reception/Front Desk:

  • Oversee the reception counter, manage building and parking pass requests, and handle invoicing
  • Welcome and register guests, notify the host, and escort visitors to the conference room when necessary
  • Coordinate meeting room logistics, including setup and liaising with IT for technical support
  • Collect, sort, and distribute incoming mail

Celebrations & Events

  • Support Office Administrator in event planning

Skills and requirement

  • Customer-focused, service oriented, excellent team player and possess good problem-solving skills
  • Ability to multi-task with strong prioritization skills
  • Calm flexible approach in handling pressure and deadlines
  • Computer savvy, ready to explore and learn new software and platform
  • Comfortable working with Chinese speaking colleagues as the role will need to communicate with the team in HQ China and they speak limited english
