PURPOSEReports to: WTT Operations & Hospitality Senior Manager
We are looking for a Hospitality Specialist to manage the accommodation and VIP hospitality experience across our table tennis events. This role owns the numbers behind room allocation and accommodation planning for players, officials, sponsors, and guests, while also shaping and running the VIP lounge experience and VIP program guide. You'll work at the intersection of logistics and guest experience — equally comfortable reconciling a room block spreadsheet and greeting a VIP guest on-site — making sure every stakeholder, from federations to sponsors to dignitaries, is well looked after.
RESPONSIBILITIESACCOMMODATION PLANNING & CALCULATION- Calculate and manage room accommodation requirements for each event, based on delegation sizes, official quotas, sponsor allocations, and VIP guest lists.
- Build and maintain room block calculations and rooming lists, tracking room types, occupancy, nights required, and cost per stakeholder group.
- Negotiate room blocks and rates with hotel partners, and monitor pick-up/releasedeadlines to avoid attrition penalties or shortfalls.
- Reconcile accommodation costs against budget, flagging variances and recommending adjustments as delegation numbers are confirmed.
- Coordinate with member associations, federations, and sponsors to collect accurate accommodation requirements and traveller details ahead of each event.
- Manage rooming logistics for special cases (athletes with support staff, officials, VIPs, media, accessibility requirements).
VIP LOUNGE MANAGEMENT- Plan and oversee the VIP lounge setup for each event, including layout, catering, branding, and service standards.
- Manage VIP guest lists and access control in coordination with accreditation andsecurity teams.
- Coordinate with venue and catering partners to ensure the VIP lounge experience is delivered to the expected standard.
- Be the on-site point of contact for VIP guests during events, resolving issues quickly and discreetly.
- Track VIP lounge costs and usage and provide post-event summaries and recommendations for improvement.
VIP PROGRAM GUIDE & GUEST EXPERIENCE- Develop and produce the VIP program guide for each event, covering schedules, venuemaps, hospitality offerings, transport, and key contacts.
- Ensure the guide is accurate, up to date, and tailored to different VIP segments (sponsors, dignitaries, federation officials, media).
- Coordinate with marketing/design teams on the look and feel of the guide and any related VIP collateral.
- Gather feedback from VIP guests after each event to refine future editions of the program guide and overall hospitality offering.
CROSS-FUNCTIONAL COORDINATION- Work closely with the events, ticketing, marketing, sponsorship, and finance teams to align hospitality plans with the broader event operation.
- Liaise with hotels, venues, transport providers, and catering vendors to ensure hospitality commitments are delivered on time and on budget.
- Support the wider events team with on-site operations during the event, particularly around guest movements and VIP schedules.
- Maintain clear documentation and handover materials so accommodation and VIP plans canbe replicated or improved at future events.
REQUIREMENTSEssentials:
- 1-2 years ofexperience in hospitality, guest services, event operations, or accommodation/rooming coordination, ideally within sports, live events, or the hotel/travel industry. Fresh graduates are also welcome to apply.
- Experience managing room blocks, rooming lists, or delegation accommodation for events or group travel.
- Experience running or supporting VIP/hospitality programs, lounges, or guest experience initiatives.
- Experience working with international delegations or multi-stakeholder groups is a plus.
- Willingness to travel for global events (40% travel).
Skills & Attributes:
- Strong numerical and organisational skills — comfortable building and maintaining detailed accommodation calculations and budgets in spreadsheets.
- Excellent attention to detail, particularly when handling guest lists, room allocations, and VIP requirements.
- Polished, professional manner with strong interpersonal skills for dealing with VIPs, sponsors, and officials.
- Strong written communication skills for producing clear, guest-facing materials such as the VIP program guide.
- Ability to stay calm and solve problems on the fly during live events.
- Comfortable coordinating multiple vendors (hotels, caterers, transport) and cross-functional teams at once.
Desirables:
- Experience with hotel booking/room block management systems or event management software.
- Background in hotel operations, travel management, or protocol/guest relations.
- Multilingual skills, given the international nature of table tennis events.
